How to replace a signer or approver in an existing flow?

Before starting, please note that you need to be an admin or the initiator of a flow in order to replace a signer or approver in an ongoing flow. 

After logging in to Contractify select the tab “flows” in the menu on the left hand side of your screen.

You’ll now get an overview of all flows in your environment.

Click on the flow you wish to replace the signer/approver for.

You’ll now see the details of this specific flow. 

When replacing a signer/approver in active flow, the first thing you need to do is to put the flow on hold

Click on “put on hold” in the top right corner of your screen. 

A “replace” button now appears in the “steps” section of your flow.

Note that you can only replace a signer or approver that has yet to finish their flow task. 

Click on the replace button behind the name of the person you wish to replace in your current flow.

You can now choose a new signer/approver both internal or externally.

After choosing another collaborator, you can edit their contact details and choose to notify this new signer or approver before finally replacing them.

After you’re finished replacing the right person(s), you have to resume the flow by clicking on “show options” in the top right corner of your screen. 

Choose “resume flow” > next”.

You’ll now get the option to inform the flow stakeholders. Select the option you wish to use and click on “next”.


You have now successfully replaced a signer/approver in an ongoing flow.
