How to add an external approver to your flow

External contacts can now approve or reject one or more documents in a flow.

Most of the time it will be used as an extra step before the actual signing.

This can be useful when

  • you rely on an external legal office or lawyer to approve documents

  • you want to give the other party the opportunity to explicitly approve or reject before taking the next step, which can be signing the document(s)

How to add/involve an external approver in the process: 

Step 1. Create a flow and select the necessary documents: 


Step 2. Prepare your flow (with or without a template) and add a first approval step (you can add multiple if necessary): Enter the email address of the external approver in the box. 

Step 3: When you’re finished adding all the necessary steps, you can send out your flow. You will see that the external approver is marked as external in your flow overview page: 

Step 4: your external approver will receive an email with the message to approve or reject the document(s) using an One Time Password (OTP) requested via email. 

When approved, as flow initiator, you will receive an email that the approval step is completed. 

When rejected you will receive an email from the external approver with the reason why.
