How to create and manage a flow template

Only admins can create and manage flow templates.

1. Where to create a flow template

Hover over Settings and click on Flow templates, you’ll be redirected to the general overview of all templates that are previously configured and saved.

You can add a new template through the ‘+ New’ button on the upper right side of the screen.

2. How to configure a flow template

2.1. Template name

First step is to name the flow template. 

Tip:  choose one that reflects the process it’s needed for based on department, value, location, … Keep in mind that the users of the flow get to choose the template in a dropdown.

2.2. Is Locked

You can use the slider to lock the flow now or later in the process.

When a template is locked a user can not remove collaborators or alter steps.

Adding colleagues is always possible though.

2.3. Add step

2.3.1. Departments and offices

Select the department and/or office for which you are creating the template. This will help you find the right template more easily when you want to start a flow.

2.3.2. Approval / Legal approval / Signing

Decide what steps you wish to include in your template.

You have the possibility to add approval, legal approval, and singing to your flow. 

You can give each of these steps a name to be more precise as to whom has to approve or sign.

E.g. CEO and CFO approval, legal approval, CEO and CFO signatures.

You can choose to add stakeholders immediately, or you can leave it open to be configured once you want to use the template.

Adding the stakeholders immediately is recommended for templates that are locked, or, for example, when you only need to have your CEO sign off on something.

2.3.3. Parallel or Sequential


You can choose parallel if all colleagues involved in the step can get the notification for the approval or signing at the same time.

If you want to set an order in approval or signing, select the sequential option.

The sequence is applied on the order of adding colleagues. You will see the order appear in front of the persons involved. By dragging and dropping the icon in front of the number, you can change the order.

Add as many steps and stakeholders as you need in order to personalize the flow to your personal needs, or create more templates.
