As a company, you will undoubtedly have to deal with a lot of documents and contracts. As a result, it can sometimes be difficult to know clearly which documents actually belong to contracts. After all, not every document is a contract.

Here it is important that you take into account 2 factors: metadata and/or follow-up tasks.

1. Metadata

If the document does not contain metadata, it can simply be loaded as a document and not as a contract. The metadata include start date, notice period, end date, extension period....

2. Follow-up tasks

In addition, it should also be considered whether there are follow-up tasks associated with the document. An example of this is the renegotiation of the conditions or prices after a certain period. If there are no follow-up tasks, and thus it is basically not to be followed up, then the document can just be registered as a document and not as a contract.

These documents can be linked to the actual contract it belongs to. You can link one or more documents to a contract. For example, you can link a quote, addendum, NDA... to the contract it belongs to.

If you link several documents to a contract, it can become complicated to find them quickly afterwards. It is therefore important that, when registering the document, you also indicate under which document type it belongs, such as addendum, invoice, permit, etc.
