Hi there!

July and August brought a wave of improvements that make day-to-day contract management just a bit smoother, from cleaner signing flows to more flexible task and user management. Here's what's new.

Signature field required for every flow collaborator

 

Adding a "name" field to a flow without a matching signature field could previously lead to a file being marked as signed incorrectly. Flows now require every collaborator to have at least one signature field.

External approvers remembered between flows

The details of external approvers are now saved and reused across flows, so you no longer need to re-enter the same information every time.

Duplicate signer handling improved

When adding signers to a flow, Contractify now automatically filters out anyone who's already been added, bringing this in line with how duplicate approvers are already handled.

Creation date added to the user table

The user table now shows when each user was created, and you can sort by it, useful for tracking onboarding or auditing account history.

Full visibility into your seat usage

You can now see exactly how your license seats are being used, directly in the platform. When going to the Users tab in the Settings, you will see your available seats. When creating a new user, you can either assign the new user to a seat freed up by someone you're replacing, or add a new seat, which can result in an additional invoice. This gives you full transparency over your license before you commit to a change.

Validation added to known signer import

Importing known signers now includes validation checks, helping catch errors before they land in your data.

Party import moved from modal to drawer

The party import form now opens as a drawer instead of a modal, in line with the rest of the platform's interface.

Reopen task checkbox

A new checkbox lets you control whether a task reopens automatically in case of tacit renewal, even if it was already marked done. Note: if the task is still open when tacit renewal happens, it will always reopen automatically, regardless of the checkbox.

Smarter renewal task prompts

Changing a contract's status from expired back to active now asks whether you want to reopen the associated default task, so completed tasks don't get overlooked at renewal.

Task filter and bulk edit for "reopen on renewal"

A new filter lets you quickly find tasks based on whether they're set to reopen automatically on renewal or extension. The "reopen on renewal" and status fields can also be edited in bulk across tasks, saving time when updating multiple contracts at once.

Files count now clickable in contract list

The contract list now includes a column showing the number of linked files, and clicking it takes you straight to them.

Description field for custom fields

Custom fields can now include a description box, making it easier for your team to understand what a field is for at a glance.

Custom export columns for user list

Exporting your user list no longer means exporting everything: you can now choose exactly which columns to include.

Filter users by department or office

The user list can now be filtered by department and office, making it easier to manage larger or multi-location teams.

General chat V2 for Control tier

We've rolled out version 2 of general chat, so you can now chat with Ada, the AI Contract Analyst from Contractify, across your whole database. Ada no longer just recognizes files, she now also understands contract metadata, parties, and tasks, giving you richer, more complete answers wherever you're working. This feature is available as part of the Control tier. Contact your CSM for more information.

New Super Admin role

We've introduced a new default privilege set: Super Admin. Super Admins have access to all content across your environment, just like Admins did in the past, while Admins are now limited to what their access rights allow. Admins can still access settings, but can no longer change their own user privileges, and their contract access is based on their assigned reading rights (folders, departments, or offices). So all current Admins have been renamed Super Admins, customizable to your company needs.

Task list now reflects your reading rights

Your task list now shows all tasks tied to contracts you have access to, not just the ones where you're listed as the owner, giving you a fuller picture of what's happening across the contracts you can see.

Clearer signing flow emails

We've made several improvements to the emails sent during signing flows. A new variable in the "Notify to Sign" email template automatically generates a bulleted list of all document names, so signers can see at a glance exactly what they need to sign.

More context on file cards in the contract overview

File cards on the contract overview and Files tabs now show file type tags and upload date, making it easier to scan and identify files at a glance.
